Label printing for small bakeries: sizes, printers and paper
Once you know what has to go on the label, the remaining problem is physical: getting legible text onto something that sticks to a cake box and stays there.
This is the practical side. No law in this one, just what works.
Start from the longest label, not the average one
The most common mistake is choosing a label size first and then discovering the ingredient list does not fit. Fruit cake, granola, anything with a compound ingredient broken out — these run three or four times longer than a plain shortbread.
Find your worst offender, set that at a readable size, and let it choose the label. A bigger label on a small cookie looks deliberate. A six-point font on a fruit cake looks like you are hiding something, and is arguably not legible at all.
There is no fixed minimum type size in law for PPDS food, but for prepacked food the x-height rule of 1.2mm is the reference point — and it is a sensible floor everywhere. Roughly 7pt in most typefaces. If you are below it, you have chosen the wrong label size.
Sizes that actually get used
- 51 × 25mm — small items, short ingredient lists. Tight for anything with a compound ingredient.
- 63 × 38mm — the workhorse. Fits a real ingredient list at a readable size. If you buy one size, buy this.
- 76 × 51mm (3 × 2 inches) — what we reach for most. Enough room for a real ingredient list at a comfortable size, and it sits neatly on a cookie bag, a brownie box or a cookie pie without dominating it.
- 89 × 36mm — long and thin, good along the edge of a box lid.
- 99 × 51mm — long lists, fruit cakes, multi-component boxes.
- A4 sheets, 21 or 24 per sheet — no special printer needed. Slower to peel, fine at low volume.
The rolls we buy are L LIKED 3 × 2 inch direct thermal labels, which come perforated with a permanent adhesive and an opaque black backing — the backing matters more than it sounds, because it stops whatever was printed underneath showing through when you label over an old box. Bought by the roll, the cost per label lands in low single-digit pence, which is the point at which reprinting a label stops feeling like a decision.
Sheets or a thermal printer?
A4 sheet labels and your existing printer. Cheapest to start. No new hardware. The catch is waste: print six labels from a sheet of 24 and the rest of the sheet is usually spoiled by the time you come back to it. Fine under about fifty labels a week.
A direct thermal label printer. Roll-fed, prints one label at a time, no ink or toner at all — the paper is heat-sensitive. A desktop model costs about what a decent stand mixer attachment does, and it changes how labelling feels: print two labels for a last-minute order without touching a sheet.
Direct thermal is the right choice for almost every small bakery. The trade-off is that the print fades with heat, sunlight and time. Months, not years. For food with a short shelf life that is not a problem. For anything that sits in a sunny cabinet all summer, test it first.
Thermal transfer uses a ribbon and does not fade. More consumables, more cost, and for a bakery, usually unnecessary.
Avoid inkjet for labels that will meet moisture. Inkjet ink runs when a chilled box sweats.
What we actually use
The printer in our own kitchen is a SVANTTO 63C Bluetooth thermal label printer. It is sold as a 4×6 shipping-label printer, which is how most of this class of machine is marketed — the roll width adjusts, so smaller food labels are no trouble.
We have put thousands of labels through it without a failure. The setup is the part worth paying for: it pairs over Bluetooth to a phone or a laptop, so printing from the back of the kitchen does not mean plugging into anything. At bake shed volumes it does not break stride, and maintenance amounts to wiping the print head about every thousand labels. That is genuinely the whole maintenance routine — there is no ink, no toner, and nothing to replace but the roll.
If you are buying your first label printer, buy something like this rather than committing to A4 sheets. The step change in how willing you are to reprint a label — and you should be willing, every time a recipe moves — is worth more than the machine costs.
Paper, adhesive, and the freezer problem
Matt paper, permanent adhesive, is the default. Gloss looks nicer and is harder to read under shop lights.
Two situations need thought:
Anything cold. Standard permanent adhesive is rated for application at room temperature. Apply a label to a box straight out of the freezer and it may not key properly, then falls off in the customer's car. Apply labels before chilling, or buy a freezer-grade adhesive.
Anything greasy. Butter migrates through paper. A label applied to a box that has held a warm pastry can go translucent and unreadable. Apply to the lid, not the base, and not directly over the food.
Removable adhesive exists and is tempting for reusable containers. It is also the adhesive that ends up on the floor of the cabinet. Use permanent unless you have a specific reason not to.
Layout that survives a fast morning
- Product name at the top, largest thing on the label
- Ingredients as a continuous paragraph, not a bulleted list — it wastes less space and reads the way people expect
- Allergens in bold inside the list, never as a separate "contains" line bolted on afterwards
- Date and weight bottom-right, where a hand reaches for them
- Leave a 2mm quiet margin. Label stock drifts, and text printed to the edge gets clipped on some fraction of every roll.
The thing worth automating
Printing is mechanical. Being sure the words are right is not.
The failure mode that actually costs bakeries money is not a jammed printer — it is a batch of labels printed from last month's recipe after an ingredient changed. The sticker looks perfect. It is also wrong, and there are ninety of them on cakes already in the cabinet.
The defence is to print from the record rather than from a saved file: labels generated from the current recipe, invalidated automatically when an ingredient underneath them changes, approved by a person before they can print, and kept as versions so you can see exactly which wording was live in which week.
